Job Description

SUMMARY: Under the direction of an assigned supervisor, perform a variety of specialized and complex clerical duties related with admissions and records, academic records, special programs and policy and procedures.

ESSENTIAL FUNCTIONS:

Process internet applications via cccapply, resolve errors, determine special handling for residency issues and international student processing registration, grades and fees.

Assist students and other visitors at the counter; provide information concerning applications (in-person and online), web registration, college website navigation, program changes, credit and non-credit courses and provide a variety of general information.

Review student applications and verify that necessary transcripts, residency information and Admissions and Records forms and information are included.

Process official transcript requests and prepare electronic file and paper transcripts and mail transcripts as requested for students in a timely manner and according to established guidelines and procedures.

Perform a variety of general clerical duties; answer telephone and provide information regarding general admissions and records procedures, policies and regulations as appropriate or refer callers to other personnel as necessary; receive, process and distribute U.S. and inter-office mail and faxes.

Process forms and monitor for compliance High School/College Credit Program.

Assist in a variety of registration activities and including mailing applications and other information requested, receiving applications and mail registration forms.

Verify and record data for final grade rosters from instructors.

Process address/phone/email and educational goal updates.

Certify enrollment for students obtaining financial aid, insurance, employment, and deferment of loan payments; process fee waivers and fee credits according to established guidelines and procedures.

SECONDARY FUNCTIONS:

Order and maintain office supplies according to established guidelines and procedures.

Train and provide work direction to temporary part-time employees.

Maintain departmental(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations.

Maintain currency of qualifications for area of assignment.

Perform related duties as assigned.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:

  • Modern office practices, computer software applications procedures and equipment including telephone techniques and etiquette, and processing files via the internet.
  • Admissions and records activities.
  • Correct English usage, grammar, spelling, punctuation and vocabulary.


ABILITY TO:
  • Perform a variety of complex counter and clerical duties to assist with admissions and records activities.
  • Operate a personal computer including various software packages to enter and retrieve data using keyboarding skills in an efficient and effective manner consistent with requirements of the position.
  • Operate a variety of office equipment including a typewriter, personal computer, scantron, validator and copier.
  • Establish and maintain cooperative and effective working relationships with others.
  • Understand and follow oral and written directions.
  • Learn to interpret, apply and explain rules, regulations, policies and procedures.
  • Work confidentially with discretion.
  • Train and provide work direction to others.
  • Meet schedules and time lines.


EDUCATION: Graduation from high school or equivalent.

EXPERIENCE: Increasingly responsible clerical experience in the area of Admissions and Records or similar work environment including customer service.

WORKING CONDITIONS: Admissions & Records Office environment; some light bending and stooping to retrieve files and other documents; some light lifting at times; subject to constant interruptions and frequent interactions with student, staff, and the public.
