The Academic Program Support Specialist (APSS) provides services and administrative support across the Concurrent Enrollment (CE) Department and the Center for First Year Success (FYS) and acts as a liaison between school district personnel, instructors, and students and provides liaison services to personnel college-wide through excellent communication and project management skills. This position interacts with constituents and stakeholders inside and outside the college and manages complex academic projects and processes. The APSS should possess a general knowledge of higher education as well as advanced knowledge of the needs of disciplines and programs within the Math and English department to support FYS operations. The APSS should understand the college experience from the student's point of view and is empowered by leadership to engage in processes that best serve students.

Examples of Duties / Knowledge & Skills
  • Coordinate the billing process for all CE students and collaborate with the Fiscal Affairs team to ensure data is received in a timely manner
  • Assist in the registration process, during peak enrollment times throughout the year
  • Support the instructional coordinator in maintaining grade submissions, collecting and updating syllabi and program documentation for Concurrent Enrollment instructors
  • Serve as first point of contact for student concerns; provide general support to ensure students have accurate information related to Concurrent Enrollment, First Year S departments and college policies and procedures
  • Maintain the department budget and serve as the purchasing agent for the department
  • Maintain and update all memorandum's of understanding and contact information for all school districts and charter school partners
  • Manage medium and long-term projects for process improvement and effective support of concurrent enrollment
  • Design and distribute public information on behalf of the Concurrent Enrollment department and Center for First Year Success and collaborate with College Communication and Marketing staff regarding distribution of public information
  • Plan and manage departmental programs and events including small workshops, symposiums, open houses, CE Celebration, etc.
  • Serves as a liaison to departments/programs housed under the Center for First Year Success
  • Provide general administrative support to Concurrent Enrollment and the Center for First Year Success
  • Other duties as assigned

    Minimum qualifications & Requirements
    REQUIRED QUALIFICATIONS:
  • Bachelor's degree or equivalent experience
  • Excellent written and verbal communication skills
  • Exceptional problem-solving and decision-making skills
    PREFERRED QUALIFICATIONS:
  • Experience with data collection and budget experience
  • Project management experience
  • Experience working in an academic environment
  • Experience with SCT Banner software
  • Knowledge, skills, and abilities related to department programs and courses

    Supplemental information
    Salary:: $44,000.00-$44,517.00 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan. Leave and holiday benefits are also included. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
