Primary Duties and Responsibilities:
To provide administrative support to the Dean of Enrollment Management. Act as a liaison within the department in enrollment management and across college administration relative to procedures, policies and planning. Professionally handle personnel and student issues of a highly confidential nature. Works autonomously on daily activities with competing priorities.

  • Assist the Dean of Enrollment Management by ensuring all processes for contractual obligations, documents and meeting materials are prepared in advance to ensure deadlines are met by the Office of Enrollment Management.
  • Handle all correspondence, directives, agendas, minutes and reports in written form, via audio dictation/transcription or verbal dictation; write, edit and proofread documents; compose memos and letters as required.
  • Provides administrative support including coordinating meetings, travel arrangements, conference registrations, preparing and submitting written documents and reports, preparing presentations, sorting/screening mail, managing data, requesting supplies, maintaining calendar and scheduling appointments.
  • Work closely with other support staff to ensure streamlined and effective processes that deliver increased productivity.
  • Assume responsibilities that necessitate individual initiative for daily workflow in the office, including developing and implementing procedures and changes as required.
  • Coordinate Enrollment Management budget by working with unit department managers in Student Affairs to develop, load an monitor annual budget data for Admissions, Campus Central, Registration, Records and International Student Services.
  • Keep track of electronic communications for students regarding information pertaining to enrollment services; develop a timeline and send and post messages with the appropriate method at the appropriate time.
  • Coordinate and prepare work on special projects for the Dean of Enrollment Management; coordinate and handle details for various committee meetings and luncheons including invitations, facility requests and dining services.
  • Research and prepare special reports and College forms for the the Dean of Enrollment Management.
  • Prepare exhibit materials for the Board of Trustees meetings, when necessary that pertain to the units in Enrollment Management, the Strategic Enrollment Plan and Student Affairs.
  • Assist the Dean of Enrollment Management with presentations and reports for the Office of the President and Cabinet related to the Strategic Enrollment Plan and enrollment updates.
  • Process all required paperwork for purchases, dining services, travel expenses, etc. in accordance with the College financial guidelines and directives.
  • Provide exemplary customer service to all constituencies served by Dean of Enrollment Management.
  • Participate on college-wide committees as appropriate.
  • Other duties as assigned


  • Qualifications:

    • Education
      • Associates degree or an equivalent combination of education and experience required.
      • Bachelor's degree preferred.
    • Experience
      • Two to three (2-3) years supporting management/supervisory level personnel with experience in project, event and calendar management involving work with internal and external customers required.
      • Ability to maintain a high degree of confidentiality, and professionalism required.
      • Proficient in MSOffice programs, outlook calendar and Internet with two to three (2-3) years' experience working with spreadsheets, databases, and word processing software required.
      • Strong planning and organizational skills; Attention to detail and accuracy, ability to prioritize, implement and follow through with multiple tasks required.
      • Self-motivated and goal oriented required.
      • Proficient in spoken and written English required.
      • Demonstrated ability to manage multiple priorities simultaneously required.
      • Four (4) or more years experience in the above categories preferred


    Working Conditions:

  • Computer and printers, calculator, telephone, copy machine and fax machine.
  • General office environment.
  • Ability to work in an open environment with high level of visibility; ability to interact well with senior management, faculty, students, and community members.
  • Operate appropriate office equipment.
  • This position requires a background check and drug screen.

    Hiring Range:
    Classified 10 Hourly/20.00 - 22.00
