General Description


Under the direction of the Director, Admissions & Records, the Admissions and Records Technician performs a variety of counter and general clerical duties to assist with Admissions and Records activities.

This position is a 12-month, full-time position.

Monday - Thursday 9:00 a.m. to 6:00 p.m.

Fridays 7:45 a.m. to 4:45 p.m.

Initial placement is at $49,920

Job Duties


Job duties of the Admissions & Records Technician include:
  • Assist students and other visitors at the counter; provide information concerning applications, program changes, credit and non-credit courses, records/transcripts, orientation, withdrawals and add/drop procedures and provide a variety of related information.
  • Review student applications for accuracy and completeness. Provide information to students regarding admissions requirements, residency, fees and other student programs on campus.
  • Process official in-coming transcripts for students in a timely manner and according to established guidelines and procedures; proof verification requests to assure compliance with policies, regulations and authorization; retrieve information and complete verification process.
  • Certify enrollment for students obtaining financial aid, insurance, residency, employment and deferment of loan payments.
  • Perform a variety of general clerical duties; answer telephone and provide information regarding general admissions and records procedures, policies and regulations as appropriate or refer callers to other personnel as necessary; receive, process and distribute U.S. and inter-office mail.
  • Oversee and monitor prospective student files, including applications, high school or college transcripts, prepare and send letters.
  • Assist in a variety of registration activities including inputting student data and other information requested,
  • Operate a variety of office machines including a computer, laptops, scanner, fax and copier.
  • Input and verify completeness of concurrent and dual enrollment forms for high school student. Contact high school students, counselors, and staff as necessary.
  • Utilize the District's integrated software in performing the required duties of the position.
  • Perform related duties as assigned.


Qualifications


Minimum Qualifications (Education & Experience):

Any combination equivalent to:
  • Graduation from high school and
  • Two years of general clerical experience including public contact

Working Conditions
Environment:

  • Admissions and Records office environment.
  • Possible additional evening and or/weekend hours.
  • Constant interruptions and frequent interaction with students, staff and public.

Physical Abilities:
  • Ability to hear and understand voices over the telephone and in person.
  • Ability to speak clearly and distinctly to provide information in person or on the telephone.
  • Ability to remember key information and concentrate for long periods of time.
  • Ability to see to read documents with normal and fine print.
  • Ability to sit and stand for extended period of time.
  • Ability to reach in all directions.
  • Ability to lift light objects.
  • Ability to operate a computer and office equipment.

Knowledge and Abilities
Knowledge of:

  • Oral and written communication skills.
  • Modern office practices, procedures and equipment.
  • Operation of a computer terminal.
  • Correct English usage, grammar, spelling, punctuation and vocabulary.
  • Interpersonal skills using tact, patience and courtesy.
  • Microsoft Office Suite (Word, Excel, PowerPoint Teams).
  • Telephone techniques and etiquette.

Ability to:
  • Perform a variety of counter and clerical duties to assist with Admissions and Records activities.
  • Type at a net corrected speed of 45 words per minute.
  • Operate a variety of office machines including a computer terminal and copier.
  • Establish and maintain cooperative and effective working relationships with others.
  • Understand and follow oral and written directions.
  • Work independently with little directions.
  • Learn to interpret, apply and explain rules, regulations, policies and procedures.
  • Work confidentially with discretion.
  • Learn and use integrated software.
  • Communicate effectively both orally and in writing.
  • Train and provide work direction to others.
  • Meet schedules and time lines.
