DEPARTMENT OVERVIEW

The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation.

The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

JOB SUMMARY

Under the limited supervision of the Associate Director, the incumbent is directly responsible for overseeing all aspects of recruitment for first-year applicants. Oversees all aspects of first year recruitment, with a primary focus on the state of California. The incumbent directly trains, supervises, and oversees a team of Admissions representatives and provides guidance and direction on the day-to-day first-year recruitment operations, ensuring Undergraduate Admissions and Enrollment Management goals and objectives are met.

The incumbent serves as a liaison between prospective students, parents, and counselors at high schools and colleges/universities, establishing strong relationships with all constituents to increase awareness of UCSC's brand and our admission applications processes. They will liaise with internal/external partners to develop events, programs and services for first-year students, developing pipelines to UCSC with high schools, academic prep programs, community-based organizations and representing the campus at local, statewide, and national engagements. Information about the UC Santa Cruz educational experience and admissions requirements will be shared during presentations at school visits; individual/small group appointments/workshops, including California-based and non-resident admitted student receptions.

The incumbent analyzes and manages statistical data from a variety of sources on prospective and current applicants and admitted transfers to inform outreach and yield activities. Collaborates with Assistant Directors to plan and evaluate various on-campus and virtual outreach and yield projects. The incumbent works with various groups on and off campus to gather information about first-year activities, reviews that information to ensure data integrity and then uses that information to submit reports to internal and external partners.

The incumbent applies a wide variety of policies and procedures to determine if applicants have met selection criteria for admission to UC Santa Cruz and if they have achieved eligibility to the University of California. They will evaluate and make admission decisions for complex first-year applications.

The incumbent will think critically and creatively about how to deliver key messages across a variety of audiences using multiple platforms. They will take initiative and come up with creative solutions to any obstacles as they arise. The incumbent will work both independently and as part of a larger leadership team to shape the future of Undergraduate Admissions.

JOB DUTIES
25% - Plans, manages and implements events as a part of a larger first-year recruitment and yield strategy, primarily within California. Recommends improvements and modifications to existing programs. Provides training, guidance and assistance to Admissions staff who participate in first-year student recruitment and outreach. Works with the Admissions leadership team to ensure resources are allocated appropriately to meet department principles, goals and deadlines.

20% - Serves as primary liaison for transfer students and parents at various venues, including community colleges. Plans visits, makes presentations, provides group and individual advising. Provides in-depth information to prospective transfer students and their parents on admissions requirements, prerequisite major courses, programs and curricula, financial aid criteria in school and community-based organization settings.

20% - Participates in the hiring, training and general guidance of direct supervisees. Monitors their staff's performance and provides direction and assistance as needed. Works with staff to encourage professional development and foster the development of relevant skills.

15% - Collects, reviews and analyzes first-year student data. Uses data to assess the effectiveness of outreach efforts in attracting quality students to UCSC. Assists with the review and analysis of first-year data to ensure data integrity and make recommendations for recruitment and yield strategies. Manages data to produce reports for both internal and external audiences.

10% - Uses extensive knowledge of department requirements and applicant pool to assess the applicants' overall record and experience for final admissions determination and recommendation. Researches various educational systems as needed and analyzes academic records from foreign secondary and tertiary institutions including study abroad records. This includes performing course-by-course evaluations for first-year and transfer credits.

5% - Completes necessary paperwork to adhere to UC, UCSC, and Office of Admissions policies and procedures. This includes pre and post-travel planning and documentation and providing other compliance documentation as needed.

5% - Performs other functions as assigned.

QUALIFICATIONS
Required Qualifications
  • Bachelor's degree in related area and/or equivalent experience / training.
  • Advanced knowledge of project management including program design, implementation, and evaluation.
  • Advanced knowledge and experience working with a diverse student population.
  • Experience establishing and maintaining effective working relationships
  • Excellent verbal and written communication skills with the ability to provide and receive clear, concise information, and to effectively communicate and present complex, technical information in professional settings with co-workers, prospective students, their families and the general public
  • Proven experience in undergraduate transfer student recruitment planning and implementation.
  • Advanced skills to develop the university's strategic recruitment plans, designing outreach and recruitment programs and materials that will attract and enroll top candidates to the school/college, including students from underrepresented groups.
  • Ability to analyze data, including return on investment, to assess the efficacy of outreach and recruitment programs and use that information to formulate and present recommendations
  • Knowledge and experience using standard computing tools including Microsoft Office applications, on-line databases, email, and web-based research tools
  • Advanced knowledge of admissions requirements for campus and departments, including mitigating circumstances /bases for exceptions.

Preferred Qualifications
  • Advanced and comprehensive knowledge of UC admissions practices and procedures, including undergraduate evaluations and transfer credit policies, academic programs, including curricula, and financial aid programs, at colleges/universities and specifically at UC. Ability to interpret policies and procedures to prospective students and the public.
  • Knowledge of tertiary level foreign credentials, secondary school records, study abroad programs and policies, and knowledge of major educational systems of the world.
  • Working knowledge of Oracle/PeopleSoft Campus Solutions system and CRM Systems, as well as other student-based computing environments
  • Experience with the online UC A-G Course List and ASSIST transfer student information resource
  • Knowledge of language(s) other than English.
  • Supervisory experience, including the ability to address diverse problems and motivate diverse staff in an academic or similar environment.
