Salary range for this position is $41,508.00 - $55,416.00

Prior to a new hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position. In addition to the background check, candidates will be required to complete the Sexual Misconduct Disclosure Form as required WA HB 2327.

Essential Functions
  • Maintain student records according to State and Federal procedures and policies regarding privacy, retention, and appropriate disposal.
  • Serve as State Records Custodian advising college staff on records retention and destruction.
  • Administer online grade entry system establishing faculty timelines, training and procedures for grade entry, and coach instructors utilizing grade entry system.
  • Respond to requests for educational records by determining legitimacy, and meet strict guidelines for Federal student confidentiality laws.
  • Manage National Student Clearinghouse enrollment and degree reporting.
  • Configure ctcLink/Peoplesoft in preparation for quarterly for registration.
  • Manage functions and parameters of automated waitlist system.
  • Provide training and support regarding the ctcLink/PeopleSoft system for college personnel.
  • Supervise hourly and student work study students in document imaging and maintenance of Student Records.
  • Research and update changes to student social security numbers, student identification numbers and grades following documented protocols.
  • Support general Registration/Records functions as needed, including assistance with direct service (front-line) registration functions.

Qualifications
(Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)
  • High School graduation or equivalent and three (3) years of increasingly responsible experience in a records maintenance and management role.
  • Evidence of independently organizing, prioritizing and implementing work functions.
  • Evidence of strong customer service skills with the ability to respond to questions on the phone and by e-mail.
  • Typing 60+ words per minute.
  • Demonstrated word processing, spreadsheet and email processing skills.

Preferred Qualifications
  • Bachelor Degree and three (3) years of increasingly responsible experience in a records maintenance and management role within higher education.
  • Experience and understanding of FERPA federal confidentiality policies and procedures and Washington Administrative Code (WAC).
  • Experience with ctcLink/PeopleSoft or similar student information management system
